Note: All gifts $5,000 and above receive a thank you from the CEO of the UND Foundation. All gifts $25,000 and above receive a thank you from the President of UND.Within 48 hours of receiving a gift (not a pledge or deferred arrangement), the UND Foundation sends a tax receipt with gratitude, including any restrictions and designated fund information.
Recommended Stewardship
Thank you ProcessFor gifts at or above a set amount determined by the unit, please prepare and send a thank-you letter or note from the dean/director/chair. This report is meant to support this process and will be delivered weekly to those subscribed from each unit.It is our recommendation to update the dean’s/director thank-you letter at least each semester to reflect current happenings, program updates, and to highlight the impact of donor support in your unit. The dean should sign letters for gifts at or above a defined threshold, with handwritten, personalized messages on the letter encouraged (a couple sentences). Each college is responsible for setting their own gift level criteria for a dean-signed letter versus other forms of acknowledgment (e.g., postcard or notecard).Exceptions
Exceptions are expected and will take place for certain donors due to relationships, potential, current cultivation, etc. For example, a phone call may be more appropriate for certain instances/donors. A more customized thank you is encouraged for areas of greatest impact. Gifts of time and talent should mirror the process for monetary gifts. It is our goal to establish stewardship consistency for donors who give to any area at UND.
Donor Information:
Donor ID: UND Foundation’s internal donor identification number.
Donor Name: This field lists the name of the donor who made the gift. If the donor requested anonymity, their name and contact information will be redacted, and this field will display “Anonymous.” The gift amount, type, and designation will still appear on the report.
a. Financial Donor: Gifts received by UND Foundation without any donor information provided, in other words the donor is unknown, will be recorded under the Financial Donor record.
Preferred Degree: The highest-level degree the donor has earned from UND. If the donor has more than one degree at the highest-level, then the most recent degree information will be provided.
Preferred Degree Major: The corresponding major of the donor's highest-level degree earned from UND.
Preferred Degree Class Year: The corresponding class year of the donor's highest-level degree earned from UND.
Donor Full Name: Includes the donor’s spouse if they have one.
Salutation: UND Foundation’s preferred greeting for outgoing stewardship correspondence. If the donor has a spouse, both names will be included.
Gift Information:
Receipt Notes: Includes any notes shared by the donor at the time of the gift. These may reflect their intent or motivation and should be considered when personalizing stewardship and recognition efforts.
Matching Gift Company: The company that provided the matching funds for the donor listed in the Donor Name column.
Is DAF: A pledge or gift with at least one payment from a DAF. (Yes = True, No = False)
a. Donor Advised Fund (DAF): A DAF is a charitable giving vehicle that allows donors to contribute, receive an immediate tax deduction, and recommend grants over time to qualified organizations like the Foundation. DAF gifts listed on this report reflect grants made directly from a DAF at the donor’s recommendation.
Is Planned Gift: Gifts that are deferred, typically the gift will become available after the donor’s passing. (Yes = True, No = False)
Gift Type:
a. Outright Gift: A donation of cash or other assets received from a donor.
b. Pledge: Commitments to give a gift over time.
c. Pledge Payment: Payment received on a pledge.
d. Recurring Gift Payment: Payments received on a Recurring Gift. Recurring gifts are scheduled to repeat at a frequency chosen by the donor. Examples include weekly, bi-weekly, monthly, quarterly, or annually.
e. Matching Gift Payment: Payment from a matching gift company.
i. Matching Gifts: A matching gift is a gift received as part of a giving program that is set up by various companies and corporations where the business matches their employee’s monetary donations to eligible organizations. Depending on the company’s guidelines and match ratio, the matching gift may be double or even triple its employees’ original gift. This donor’s original gift may have arrived at the same time or already have been received prior to this matching gift.
Pledge / Gift: Type
a. ACH/Cash/Credit Card/IRA: Specific payment method in which the donor paid their gift.
b. Bequest (Pledge): The donor has notified the UND Foundation that we are a beneficiary in his/her will, retirement plan, trust, etc. This could be changed or revoked.
c. Bequest (Pledge Payment): Realization of a testamentary gift while the donor is still living.
i. Note: Bequest pledge payments from deceased donors are not reflected in this report. The UND Foundation manages the stewardship of all estate gifts through a dedicated estate gift notification process. When an estate gift is received, the respective college or unit will be notified via email.
d. Buildings: Gifts of real estate including a structure.
e. CRT: A charitable remainder unitrust is an irrevocable contract between the donor and the UND Foundation where the donor makes an initial payment of cash or other property approved by the UND Foundation, the UND Foundation agrees to pay the annuitant a fixed percentage or annuity for the rest of the annuitant’s life or specified term. Upon the termination of the trust (typically death of the donor(s)), the remaining asset value will be available for use as specified by the donor.
f. CRT Non-Trustee: A CRT where UND Foundation is not the trustee of the trust.
g. Gift-in-Kind: Gift of goods or services.
h. Gift Annuity: A contract between the donor and the UND Foundation where the donor makes an initial payment of cash and the UND Foundation agrees to pay the annuitant a fixed income for the rest of the annuitant’s life. This is irrevocable, yet the amount at end of life is typically 50% of the total given. Upon the termination of the contract (typically death of the annuitant), the remaining asset value will be available for use as specified by the donor.
i. Land: Gifts of bare land property.
j. Letter of Intent (Pledge): An agreement outlining the understanding between the donor and UND Foundation of the donor’s intent for their DAF to make periodic gifts over time.
k. Letter of Intent (Pledge Payment): A payment received from a DAF on a Letter of Intent obligation.
l. Life Estate: An irrevocable gift where the donor retains the right to live in or use the real property for the donor’s lifetime. The donor is obligated for the normal maintenance, insurance and property taxes of the property. The donor receives a tax deduction at the time the life estate is established for the charitable portion of the current market value. At the donor’s death, the title to the property automatically reverts to the UND Foundation, who then sells the property, and the proceeds will be used as specified by the donor.
m. Life Insurance: The donor lists the UND Foundation as a beneficiary of their life insurance policy. Typically, the gift will become available after the donor’s passing. If UND Foundation is the owner, this gift is irrevocable. If UND Foundation is just the beneficiary, the donor could make changes over time.
n. Money Market/Other Stock Broker: Gifts of stocks or mutual funds received from donor.
o. Payroll Deduction: Gifts received via payroll deduction from UND & UND Foundation employees.
p. UND Board Gifts: Gift of services by the college advisory committee members.
q. UND Event Sponsorship: Examples include Gift-in-Kinds, UND Event Sponsorship Pledges & Payments.
